WE ARE OPEN

We are taking collective resolute action to minimise social contact at the Hilt to protect our residents, users, volunteers and staff. The Hilt Community Centre is now open providing that useres provide their own risk assessment and plans for how they will run classes or gatherings within the social distancing guidance from central government. We will be maintaining a strict sanitisation program during this time and require all users of the building who are authorised to enter during this period to comply. We are taking on-board all advice from the Department of Health / Governments Chief Medical Officer and Local Health Authorities and we really appreciate your support during this unprecedented situation.

PLEASE READ THE FOLLOWING CAREFULLY IF CONSIDERING HIRING OR RUNNING CLASSES OR EVENTS

RISK ASSESSMENT AND SYSTEMS FOR BOOKINGS AT THE HILT – COVID 19

Further to a Management Meeting of the Trustees on 9th July, the following arrangements are being put in place in order to open the Hilt to hirers whilst maintaining Government Guidelines for Community Halls and for the safety of all users.  

Hirers and Users of Community Halls have responsibility for managing risks arising from their own activities when they have control of premises and should take account of any guidance relevant to their specific activity,  Therefore, by appointment, we are available should any hirer want to go through these processes to help run their sessions accordingly.

The Hirers will be required to enter via the main entrance and must ensure they have their key fob as the main entrance door in reception will be locked to avoid any unauthorised entry.  Hirers must also ensure that they obtain the contact details of all their clients attending each session to enable the Government’s Track and Trace team to get in touch in case there are any reports of Covid 19 symptoms.  In the event of this happening, The Hilt Management must be notified immediately.

Cuckoo Bushes Hall

The hirer will enter by the main reception door and enter the Cuckoo Bushes Hall.  The side fire exits will be used as separate entrance and exit doors into and out of the building and must be used by the hirer’s clients.  These will be clearly signed and must be used with the exception of any emergency or to access the toilets.

Hirer’s must inform their clients and meet them at the relevant entrance door.   Wall-mounted Sanitisers will be available at the designated entrance to the hall.  Within the Hall, it will be the hirer’s responsibility to maintain the required social distancing under the Government guidelines.  At the conclusion of the booking, the hirer must sanitise any HCA -provided equipment and worktops that have been used including any kitchen equipment.

Hocombe Hall

The hirer will enter by the main reception door and enter the Hocombe Hall.  The side fire exits will be used as separate entrance and exit doors into and out of the building and must be used by the hirer’s clients.  These will be clearly signed and must be used with the exception of any emergency or to access the toilets.

Hirer’s must inform their clients and meet them at the relevant entrance door.   Wall-mounted Sanitisers will be available at the designated entrance to the hall.  Within the Hall, it will be the hirer’s responsibility to maintain the required social distancing under the Government guidelines.  At the conclusion of the booking, the hirer must sanitise any HCA -provided equipment and worktops that have been used including any kitchen equipment.

Cranbury Room

The hirer will enter by the main reception door and enter the Cranbury Room.  The fire exit and French doors at the rear of the room will be used as separate entrance and exit doors into and out of the building and must be used by the hirer’s clients.  These will be clearly signed and used with the exception of any emergency or to access the toilets.       

Hirer’s must inform their clients and meet them at the relevant entrance door.   Wall-mounted Sanitisers will be available at the designated entrance to the hall.  Within the Hall, it will be the hirer’s responsibility to maintain the required social distancing under the Government guidelines.  At the conclusion of the booking, the hirer must sanitise any HCA -provided equipment and worktops that have been used including any kitchen equipment.

The Loft

The hirer will enter by the main reception door and enter the Loft.  Clients will enter in to the building by the rear door to the main staircase and the separate fire exit staircase will be used as the exit out of the building.  These will be clearly signed.

Hirer’s must inform their clients and meet them at the relevant entrance door.   Wall-mounted Sanitisers will be available at the designated entrance to the hall.  Within the Hall, it will be the hirer’s responsibility to maintain the required social distancing under the Government guidelines.  At the conclusion of the booking, the hirer must sanitise any HCA -provided equipment and worktops that have been used including any kitchen equipment.

The Lift is not accessible from the rear of the building. If it is required, the Hirer must meet and safely escort their client in via the main front entrance and do likewise when leaving.  If possible, the client should travel in the lift on their own.  Except in the event of an emergency or where usage of the Lift is required, Hirers’ clients must enter and exist buy the rear doors only.

Toilets – Gents

A hand sanitiser will be provided by the door to the toilets and must be used before entering.  If when opening the door, the area by the basins is in use, please wait until it is available.  The cubicles provide social distancing but only one urinal will be available.  If in use, please wait outside until the user has exited the toilet.  

Please keep contact with surfaces and walls to a minimum and maintain sufficient distance from others when exiting and waiting to wash hands.  Hands must be washed and dried thoroughly before leaving. 

Toilets – Ladies

A hand sanitiser will be provided by the door to the toilets and must be used before entering. If when opening the door, the area by the basins is in use, please wait until it is available.  The cubicles provide social distancing and if these are all occupied, please wait outside until one becomes available.

Ground Floor Accessible Toilet

A hand sanitiser will be provided by the door to the toilets and must be used before entering.  Hands must be washed and dried thoroughly before leaving.

Loft Toilets

 A hand sanitiser will be provided by the door to the toilets and must be used before entering.  Hands must be washed and dried thoroughly before leaving.

 

EACH HIRER IS RESPONSIBLE FOR ENSURING THEIR ACTIVITIES ARE COMPLIANT WITH THE LATEST GOVERNMENT REGULATIONS RELATING TO COVID 19.  ANY ISSUES ARISING DUE TO COVID 19 COMPLIANCE WITH RESPECT TO THE USE OF THE HILT MUST BE REPORTED IMMEDIATELY TO THE MANAGER OF THE HILT.

We have, of course, taken the decision to suspend our Social Program of events within the ‘What’s On’ page until further notice but will aim to reschedule as soon as it is safe to do so, again, in line with government public health advice. The Hilt management team will maintain the building and relevant communications to assist local residents and the local authority as necessary.
